Calendly vs. Cal.com: How to Schedule When Everyone Uses a Different Tool

Calendly and Cal.com are two of the most popular ways to share your availability. Calendly is the long-time default for sales teams, recruiters, and consultants. Cal.com is the open-source challenger, popular with developers and teams that want more control. Odds are, the people you meet with use a mix of both.

This post compares the two from the point of view of someone trying to schedule a group, and shows how to find a shared time when your participants don't all use the same tool.

Calendly vs. Cal.com at a glance

    Calendly

    • Polished, widely recognized booking pages; many people already have a link in their signature.
    • Strong integrations with CRMs and sales tools.
    • Group and round-robin scheduling features are built around hosts who belong to the same Calendly account or organization.

    Cal.com

    • Open source, with a hosted version and the option to self-host.
    • Highly customizable event types and booking flows.
    • Team and collective events, again designed for members of the same Cal.com team.

For one-on-one booking, both are excellent, and the choice usually comes down to price, integrations, and taste. The interesting difference shows up when you need several people at once.

    The group scheduling gap

Both platforms handle multi-person meetings well inside their own walls. If your whole team is on one Calendly organization, collective events can find times when all hosts are free. But real meetings rarely stay inside one account:

    • Your client uses Calendly; you use Cal.com.
    • An advisor has a personal Calendly; your co-founder has a Cal.com page.
    • Interviewers from two companies, or two departments with different tooling, need the same slot.

Neither tool can see the other's availability, and neither should need everyone to switch platforms for one meeting. That leaves you comparing pages by hand, or asking everyone to fill in a poll.

How to find a shared time across Calendly and Cal.com

CalOverlap reads the public availability on each booking page, the same times anyone with the link can see, and intersects them, regardless of platform:

    1. Paste 2–4 links, mixing Calendly and Cal.com however you like.
    2. Use event links (like cal.com/sam/30min) for precision, or profile links (like calendly.com/alex), and CalOverlap will pick the event closest to 30 minutes.
    3. Confirm your time zone, then get the shared slots for the next three weeks.
    4. Someone on HubSpot? Their meeting links work too, after a free Google sign-in.

There's nothing to install and no account to connect, so it works even with people outside your organization. For the full walkthrough, see how to find a meeting time across multiple Calendly links.

    Which should you use?

Pick whichever fits how you work. Calendly if you want the most familiar experience and deep sales integrations; Cal.com if you value open source and customization. The good news is that your choice no longer locks out the people you meet with. Shared availability can be found across both.
