How to Schedule Panel Interviews Faster When Every Interviewer Has a Booking Link

Ask any recruiter what slows down a hiring loop and you'll hear the same answer: scheduling. Getting a single interviewer on the calendar is easy. Getting a hiring manager, two engineers, and a designer into the same hour, while the candidate is also free, can take days of messages. Meanwhile, strong candidates accept other offers.

If your interviewers already have booking links, there's a much faster way. Here's a repeatable playbook for scheduling panel interviews in minutes.

Step 1: Build an interviewer link roster

Keep a simple list of every interviewer's Calendly, Cal.com, or HubSpot meeting link, ideally a dedicated 30-minute or 60-minute "Interview" event type. Ask interviewers to:

    • Use the same event length for interviews, so start times line up.
    • Keep their working hours and buffers up to date on the booking page.
    • Block focus time on their calendar, so it doesn't show as available.

Step 2: Find the panel overlap

For each candidate, paste the panel's links (up to four) into CalOverlap. It checks the next three weeks and lists the earliest slots when every interviewer is free. If you only have profile links, CalOverlap picks each person's event type closest to 30 minutes automatically.

No overlap? Swap in a backup interviewer and search again. That takes seconds, not another email round.

Step 3: Offer the candidate a short list

Send the candidate three or four of the shared slots, rather than an open-ended "when are you free?" A short, concrete list gets faster replies and keeps the process feeling organized.

    Step 4: Book and confirm

Once the candidate picks a time, book it on one interviewer's page and send a calendar invite to the panel and candidate with the video link and interview plan attached.

    Handling distributed panels

Interview panels increasingly span offices and countries. CalOverlap detects your time zone and labels every slot with it, and you can switch the dropdown to the candidate's zone before sending options, so the times you share are already in their local time. Our guide to scheduling across time zones covers daylight saving pitfalls and other gotchas.

Why not just send a poll?

Polls make every interviewer stop and vote, and you wait for the slowest one. With booking links, their availability is already public, so you can compute the answer directly. See why overlap beats polls for the full comparison.

    A quick checklist

    • Every interviewer has an up-to-date booking link with a consistent interview length.
    • Panel links pasted into CalOverlap; time zone set to the candidate's.
    • Three or four shared slots sent to the candidate.
    • Invite sent to everyone with the agenda and video link.
